Built around the systems practices already use.

ClaraOps is designed around practice operations that commonly involve SimplePractice exports, Google Workspace files, and owner review workflows.

Quick answers

Direct answers for practice owners

What is ClaraOps?

ClaraOps is a payroll-readiness review layer for practice owners: it organizes source evidence, exceptions, approvals, workpapers, and handoff records before payroll decisions are final.

See the product workflow

Does ClaraOps replace my payroll provider?

No. ClaraOps does not run payroll, file payroll, move money, submit payroll taxes, or replace your payroll provider, accountant, attorney, HR advisor, or final owner review.

Review the boundaries

How does ClaraOps work with SimplePractice and Google Workspace?

ClaraOps works from practice-authorized SimplePractice exports and customer-controlled Google Workspace records, then keeps source status, exceptions, notes, and handoff context visible for review.

Does ClaraOps help with compliance?

ClaraOps can make source-data limits, exception status, review decisions, and handoff records easier to see, but it does not provide legal, tax, HR, accounting, payroll-provider, or compliance advice.

SimplePractice evidence

Use exported scheduling and practice evidence as source material when the practice authorizes it, then keep import status, review blockers, and handoff readiness visible.

Google Workspace context

Organize supporting files and review context from approved Workspace files or folders without making public claims about private records.

No partner shortcut

Public copy avoids official partnership or certification claims unless separately approved, and it keeps user-controlled actions separate from ClaraOps processing.

What the practice controls

The practice controls authorized exports, folder access, reviewer decisions, export destinations, and whether a handoff is sent outside ClaraOps.

SimplePractice export flow

  1. ImportThe practice exports scheduling, appointment, and payroll-adjacent evidence from SimplePractice and chooses what to provide to ClaraOps.
  2. ClaraOps import and source reviewClaraOps organizes the supplied file into source status, roster context, payroll calculation support, and missing-evidence checks.
  3. Exception and freshness reviewA human reviewer sees stale exports, missing records, unusual pay questions, and unresolved employee context before handoff.
  4. Owner-controlled payroll handoffClaraOps prepares buyer-safe review records, private workpapers, and handoff notes after the authorized reviewer decides the evidence is ready.
Review point
Owner or delegated-operator review stays before final payroll handoff; exceptions remain visible instead of being auto-cleared.
Export / report behavior
Reports and workpapers summarize reviewed evidence and blockers; they do not submit payroll or file taxes.
User-controlled actions
The practice controls which SimplePractice exports are provided, when they are refreshed, who reviews them, and whether the final handoff is used outside ClaraOps.
Boundary
ClaraOps does not scrape SimplePractice, bypass source permissions, claim an official SimplePractice API partnership, or guarantee source accuracy.

Google Workspace handoff flow

  1. ImportThe practice authorizes or provides specific Google Workspace files, folder context, or handoff notes needed for payroll-readiness review.
  2. Redacted handoff/workpaper contextClaraOps connects approved file context to source status, review notes, and export records without making public claims about private records.
  3. Review notes and export packageA human reviewer checks whether supporting files are current, whether notes resolve exceptions, and whether a handoff package is ready.
  4. User-controlled Drive destinationWhen a reviewed export is prepared, the practice controls the destination and whether it is shared with an accountant, bookkeeper, payroll provider, or internal operator.
Review point
Google context supports source review and handoff records; it does not remove the owner approval checkpoint.
Export / report behavior
Exports and reports are prepared for user-controlled destinations and stay inside the secure company workspace until a user takes action.
User-controlled actions
The practice controls folder access, file selection, reviewer decisions, export destinations, and whether a handoff is sent outside ClaraOps.
Boundary
ClaraOps does not read arbitrary Google Drive files, claim Google official partner status, send exports without user action, or expose private Workspace records on public pages.
